01Introduction
This Privacy Policy explains how personal data is collected, used, stored, and protected when you visit the website of Alex Duchenchuk, subscribe to the newsletter, contact us through the website, or book a conversation on the booking page linked from it.
We are committed to handling personal data responsibly and transparently, in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR), where applicable.
This policy describes what information may be processed, why it is processed, and the rights available to individuals whose personal data we handle.
02Who is responsible for your data?
The data controller responsible for the processing of personal data through this website and its booking page is:
- Name
- Alex
For questions about this Privacy Policy or the handling of personal data, you may contact us using the email address above.
03Information collected when you visit the website
When you access this website, certain technical information may be processed by the hosting infrastructure to deliver the requested pages and maintain website security. Depending on the hosting configuration, this information may include:
- IP address
- Date and time of access
- Requested pages and resources
- Browser type and version
- Device and operating system information
- Referring website
- Technical error and security information
The processing of necessary technical information may be based on our legitimate interests under Article 6(1)(f) GDPR, including the secure and reliable operation of the website.
- Hosting provider
- DigitalOcean, servers in Frankfurt am Main, Germany (region FRA1)
Fonts and images are delivered from this server. The pages load no scripts, fonts or other content from third-party services.
Technical information is retained only for as long as necessary for the relevant purposes, subject to applicable legal obligations.
04Newsletter subscriptions
You can subscribe to receive occasional emails from Alex Duchenchuk about essays, research notes, developing ideas, and updates on the book Epilogics. When you subscribe, we process the email address you provide for the purpose of sending these communications.
The legal basis for processing your email address for the newsletter is your consent under Article 6(1)(a) GDPR. Subscription is voluntary and is not required to browse the website.
You may withdraw your consent at any time by using the unsubscribe link included in newsletter emails or by contacting us at me@alexduchenchuk.com. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.
- Subscription confirmation
- Double opt-in. After you subscribe, we send one email with a link. The link opens a page with a confirmation button, and newsletters go to your address only after you press it. Opening the link alone changes nothing, so a mail scanner that opens links cannot subscribe you.
- What is stored
- Your email address, the page and language you subscribed from, when the address was first entered, when you confirmed the subscription (this is the record of your consent) and, if you unsubscribe, when you did. The links in our emails carry a random key tied to your entry.
- Where it is stored
- In our own database, on the server described above. I see the list in my work panel; my work assistant has no access to it.
- Email delivery
- Emails about your subscription (the confirmation link, or a note that the address is already subscribed) are sent through Resend, an email delivery service. Resend receives your email address and the text of the email.
If you unsubscribe, your address stays in the list marked as unsubscribed. It returns to the newsletter only if you subscribe again and press the confirmation button on the page the new email links to. To have it deleted completely, write to me@alexduchenchuk.com.
05Contact and professional inquiries
If you contact Alex Duchenchuk through a contact form, a professional inquiry form, or by email, we process the information you provide in order to review and respond to your request. Depending on how you contact us, this may include your name, email address, organization, professional details, and the contents of your message.
The applicable legal basis may be Article 6(1)(b) GDPR, where processing is necessary to take steps at your request before entering into a contract, or Article 6(1)(f) GDPR, where processing is necessary for our legitimate interest in responding to inquiries.
We use this information only for handling your request and any relevant subsequent communication, unless another lawful purpose applies.
- Where inquiries are stored
- In our own database, on the server described above, together with the topic you chose, your organisation if you named it, and the language and page of the form. I read them in my own work panel.
- Recipients
- No other service receives your inquiry automatically. My work panel has an assistant that runs on an AI model service. When I ask it about inquiries, it passes that service the name, the first 300 characters of the message, its status and its date, without the email address. If I accept an inquiry, the name and email address go into my contact list and the name into my list of deals; the assistant passes them to the AI model service when I ask it about contacts or deals.
06Booking a conversation
Conversations are booked on a separate page, meetwith.alexduchenchuk.com. The booking link on this website leads there. The page is part of my own task manager and runs on its own server at DigitalOcean in Frankfurt am Main, Germany (region FRA1). Bookings are stored there and do not reach the database of this website.
We process the data below in order to arrange the meeting. The legal basis is your consent under Article 6(1)(a) GDPR, which you give on the booking page, and Article 6(1)(b) GDPR, as steps taken at your request.
- What is stored
- Your name, email address, time zone and language, the chosen time and meeting format, the note on what you would like to discuss if you write one (up to 500 characters), and the email addresses of colleagues you add (up to five). With them, a record of your consent: which version of the consent text you were shown and in which language, when you gave it, your IP address and your browser identifier (user agent, up to 300 characters). The IP address the booking came from is stored as well, and the booking log records the IP address, the booking code and your name.
- In my task manager
- A task with your name in its title appears in my task manager, together with the booking code and the email addresses of the participants. Your note is not copied into it.
- Calendar
- An event is created in my Google Calendar. Its title includes your name, its participants are you and the colleagues you added, and it carries a Google Meet link. Google itself sends the invitations and the notices about changes or cancellation. The booking page sends no emails of its own.
- Assistant
- My task manager has an assistant that runs on an AI model service from Anthropic. When I work with the assistant, it may receive the title of the meeting task, which contains your name, and the date and time of the meeting. Your email address, your note and the consent record are not passed to it.
- Cancellation
- After booking you get a link that cancels the meeting together with its calendar event. If you give a reason on the cancellation page, it is stored with the booking (up to 500 characters). The booking record itself is kept after cancellation.
- How long it is kept
- Booking data is not deleted automatically at present. It is kept until you ask for its deletion at me@alexduchenchuk.com. Backups of the booking database are kept for 30 days.
To withdraw your consent, write to me@alexduchenchuk.com.
07Protection against abuse
To limit repeated and automated submissions, the server of this website keeps in its memory the IP address a request came from when you send the inquiry form or subscribe to the newsletter. For the newsletter it also keeps the email address you entered. An entry is deleted about one hour after your last such request, and all of them when the server restarts. They are not written to the database.
The booking page limits the number of requests from one IP address when you load free times, book or cancel. It keeps these IP addresses in the memory of its server process, and they are cleared when the process restarts. The IP addresses stored with a booking are described in the section on booking a conversation.
The legal basis is our legitimate interest in protecting the forms and the booking page against abuse under Article 6(1)(f) GDPR.
